Planning Committee Descriptions
1. Arts and Culture Committee
• Rally and recruit artists to serve on this committee to perform during the various days of the Tribunals (spoken word, praise dancers, musicians, vocalists, choirs, local bands, etc.)
• Secure / Confirm Artists (obtain bio/ artist descriptions and contracts detailing exact responsibilities )
• Develop Artist Program / Schedule
• Audio / Visual Concerns (work with engineer / sound check)
• Set-up art displays/ exhibitions
• Communication and main contact with Artists:
Provide directions to venue and performance locations
Provide badges for Performers
Answer any artist questions during days of event
2. Education/ Program/ Outreach Committee
• Educate about WCW and WEAP'S mission, goals and methodology, incorporate local struggles and campaigns into content of presentations and Round Tables
• Work with organizations and activists to coordinate Round Tables with varying topics and themes in other parts of the state & region for the run up to, during, & post the WCW
• Ensure language is fluid and ties into WCW mission and focus, and lays the ground work for the ongoing Round Table discussions (utilize WCW DVDs and WEAP training curriculum)
• Assist in developing language for WCW opening words and any written materials for day of event and identify appropriate groups to lead Round Table discussions
• Collect and document reflections (with critical analysis and/or actions) from audience members to be taken after the Courts with potential solutions to be incorporated into summaries
• Host organizing campaigns around things such as budget cuts, health injustices, worker's rights abuses or pending battles, hunger and overall impact of the wealth/poverty gap in California, the west, and the nation
• Assist with the development of Fact Sheet on issues related to WCW or WEAP as we move forward
• Disseminate WCW summary through media articles, websites, etc.
3. Event Coordination/ Logistics Committee
• Identify host site/venue and handle communication/ contract with venue management (possibility of multiple venues that will be electronically coordinated.)
• Help determine how many people we want to plan for, how many locations we project, secure lodging and food for attendees
• Organize program materials/ literature (work with Arts and Culture Committee)
• Communication with keynote speakers
• Coordinate rooms/ areas for breakout roundtable discussions: Projectors/ AV
• Compile master registration list / set up registration tables
Work Closely with the Technology and Social Media Committee
4. Fundraising Committee
• Become familiar with WCW budget
• Research foundations and funding possibilities that support projects similar to WCW
• Develop sponsorship implementation plan. Help to coordinate and manage WEAP & WCW sponsorship pledges in WCW brochure
• Contact Outside/ local businesses and sponsors to secure WCW sponsorships, raise money, resources, and in-kind donations:
Grants/ Fundraisers
Selling Ads for Ad Book
Food/ supplies Donations/Promotional Items
5. Jury and Witness Committee
• Collect testimonials to document every day experiences of human rights violations
• Collaborate with partner organizations to identify and support witnesses prior to event
• Identify/ select Jurors that are leaders and experts with varying backgrounds
• Communicate all WCW logistics to Witnesses (about 30) and Jurors (about 10)
• Work with Jurors after the event to collect their words of wisdom for next steps in local work, and also in suggesting policy changes
Work Closely with the Education Committee.
6. Media /Promotions Committee
• Secure WCW Endorsements and work closely with partner orgs to get WCW message of mission and methodology leading up to WCW
• Develop a Speaker’s Bureau to i.d. talking points
• Press Release to all local TV/ Radio media
• Secure journalists/ reporters to cover event
• Submit articles to social justice publications (online and print)
• Facebook/ Email blasts to personal lists
• Flyer/poster distribution to key locations
• Host Special PR Events
Work Closely with the Technology & Social Media Committees
Work closely with Education Committee to use consistent language in media outreach
7. Technology and Social Media Committee
• Identify and secure technical tools to help facilitate WCW planning process (live streaming, web conferencing, blogging,etc.)
• Develop plans to help WCW go viral (live streaming, blogging, FaceBook, Twitter, etc.)
• Identify and secure tech needs for all days of WCW event
• Organize documentation for all days of activities connected to Courts
• Documentation of Event: Recruit and orient videographer for Tribunals to document work up to and during and post tribunals:
In charge of video/ digital cameras
Supervise and collect all video, digital photos and other media
8. Coordination Committee
• Ensure that all committees are operating in fluidity with each other
• Responsible for managing, enhancing and maintaining the relationships and connections between committees
• Request weekly reports/so as to make on the progress of the committee
• Trouble Shoot on and do preventive intervention as required
• Solicit, review, and develop Security Plans for public event
Composed of 1 co-chair from each individual committee
Need separate set of Co-Chairs for this Committee
